What is compact archive (mobile shelving) and when is it the right choice?

Mobile shelving is a space-efficient system where entire shelving bays roll on rails so you open only the aisle you use. Compared with static racks you gain much higher capacity per square meter, often avoiding building alterations. Solutions come in manual, self-driven or powered variants with brakes, pinch protection and light curtains as required.

We recommend mobile shelving when record density is high, access matters and the floor can carry the rail line loads. In public and heritage interiors we adapt finish, fixings and safety to the setting.

What does your process look like from survey to commissioning?

We begin with a needs assessment: volume and media (boxes, folders, plan cabinets), available floor area and access flows. Then we perform a site survey with measurements, floor/load review and photos/drawings. We propose a layout with correct modules, rail solution and safety level, and calculate capacity and any floor adaptations.

After approval we order materials, plan logistics and prepare the room. Installation is handled by experienced fitters following our QA plan. We finish with functional testing, handover documentation (layout, maintenance plan, reports) and offer a service agreement for reliable operation.

When needed we phase the work so operations can continue during installation.

Which safety features should a modern archive include?

As a baseline: reliable brakes/stops, correct anchoring and anti-tilt. In public or high-traffic areas we recommend pinch protection, aisle locks, safe-handling cranks and — for powered systems — light curtains and two-hand operation. Clear aisle markings and operating instructions reduce user error.

We specify protection by room type (libraries, municipal archives, museums) and risk profile. In heritage settings finishes and hardware are adapted for discreet integration.

What about floor requirements and load calculations?

Loads are transferred as line loads through the rails. We assess the substrate (concrete, timber, floating floors), existing bearing capacity and condition. Where needed we propose load-distribution measures such as sub-bases/plinths and rail levelling/embedding to achieve flatness and stability.

Our drawings show rail layout, turning areas and aisle widths. For larger projects we coordinate with the building owner and, when required, a structural engineer.

How do you address fire and climate in storage rooms?

Protection is tailored to media and use. We consider fire compartmentation, appropriate finishes and a stable indoor climate suited to the collection. For sensitive holdings we can propose tighter modules, dust protection and complementary ventilation solutions.

We work with building operations and, when appropriate, a conservator or safety officer so furnishings and routines form a coherent system. Our service visits follow up on operating conditions over time.

Shelf load ratings and how to pick the right module?

Capacity depends on shelf type, span and load distribution. We engineer around your actual objects — archive boxes, hanging folders, binders, plan cabinets, maps or framed works. Heavy collections call for shorter spans, more supports and adapted shelves; mixed media is handled with zoning and accessories such as dividers, back-stops and pull-outs.

The result is a balanced solution for capacity, ergonomics and safety — documented in our drawings and maintenance plan.

How often should the archive be serviced and what does the agreement include?

We recommend annual servicing to ensure smooth travel, correct alignment, working brakes/locks and intact protections. High-usage sites may require shorter intervals. Service includes inspection, cleaning and lubrication, rail and carriage adjustments, replacement of wear parts and functional testing.

You receive a report with prioritized actions. Our track record — including a service agreement with the Royal Library since 1992 — provides proven routines and high reliability.

Do you repair systems and source parts for older models?

Yes. We troubleshoot and repair most brands, manual and powered alike. Common wear parts (wheels, bearings, brake components, aisle locks) are normally in stock. For discontinued models we can often refurbish, remanufacture or adapt compatible parts.

The aim is safe life extension and avoided capex — always with a clear cost picture before we proceed.

Can you reuse existing shelving to reduce cost and environmental impact?

Often yes. We audit your current modules for condition, capacity and compatibility. Where safe, we reuse uprights, shelves and accessories, complement with new rails/components and adapt the layout. That lowers both cost and footprint without compromising function or safety.

We have delivered several municipal projects using a smart mix of reused and new components.

What documentation do you hand over at completion?

You receive layout and measured drawings, operation and care instructions, a service plan, inspection/function test reports and a list of critical wear parts with recommended intervals. For powered systems we include electrical schematics and safety descriptions.

This supports internal asset management and future procurements.

What input do you need for an accurate quote?

A dimensioned plan (PDF/CAD), floor type and bearing capacity if known, photos, approximate volume and media types (boxes, folders, plan cabinets, framed works) and access needs (concurrent users, aisle widths). If shelving exists — brand and condition help.

How long does a project take from order to completion?

Timelines depend on material lead times, site conditions and scope. Minor reconfigurations can be done in days, whereas larger installations are phased over weeks. We schedule deliveries, install and commissioning in our project memo and coordinate with building operations.

How do you work in heritage and sensitive interiors?

We use gentle fixings and finishes, discreet rails and solutions that avoid damage to original floors and walls. We coordinate with the heritage officer/conservator and follow local documentation requirements.

Do you provide warranty and how does after-sales support work?

We provide contractual performance commitments and follow up with service to secure long life. Spare and wear parts are handled under the service agreement; for major upgrades we present cost/benefit options so you can choose between repair, reuse or new investment.
